Chapter 11: Example Agency — Patients & Intake


Chapter Overview

Level 4: patient registry (Tier B) plus Profile PDF → intake data.


11.1 What Example Agency provided

Illustrative scale: ~70 patients (~18 active on Patient List, ~52 discharged from Roster).

The Patient List and Patient Roster are what agencies typically export — not a custom CSV you build from scratch. Betasky merges them into one patient registry.


11.2 What Betasky loaded

  • Patient record per MRN with status as of cutover date
  • Intake parsed from Profile PDF: address, contacts, payer, physicians

If one PDF fails to parse (corrupt file, missing file), Betasky flags it in the validation report for you to re-send.


11.3 Name format lesson

Axxess exports often use LAST, FIRST in name columns. During validation, reversed first/last names may need correction before sign-off.

Tip: Tell Betasky if your export uses LAST, FIRST so we map columns correctly on the first pass.


11.4 What you verify

  • Patient count matches your approved snapshot
  • Search by MRN works
  • Intake tab matches Profile PDF for 5+ spot-check patients
  • Discharged patients do not appear in active census filters
