Chapter 10: Example Agency — Setup & Staff


Chapter Overview

Example Agency is a fictional home health agency used to illustrate the migration process. Numbers and names are illustrative only.

This chapter covers Level 2–3 of the Waterfall: reference data and staff.


10.1 What Example Agency provided

You do not fill out a separate “role mapping spreadsheet.” The Axxess Employee List already includes each person’s Role column (permissions checkboxes exported as text), plus Title, Credentials, email, and phone.

Example columns Betasky reads from your export:

  • First Name, Last Name, Email
  • Credentials (RN, LPN, HHA, etc.)
  • Title
  • Role (e.g. Case Manager; Field Staff — Axxess permission labels)

10.2 What Betasky does with the Employee List

Reference data (Level 2):

  • Physicians, payers, pharmacies, facilities linked to the agency

Staff (Level 3):

  • One Betasky login per employee row (where a login is appropriate)
  • Betasky maps Axxess Role / Title / Credentials → Betasky permission set (e.g. RN Case Manager, Home Health Aide, Agency Administrator)
  • Discipline derived from credentials when present (RN, LPN, HHA, PT, etc.)

Some Axxess role types do not get a login (e.g. external referral sources, physicians listed only as contacts) — Betasky skips those automatically.

Your job: Export the list. Spot-check permissions after import (Section 10.4) — you do not build the mapping yourself.

10.4 What you verify

  • Sample physician appears on intake when you pick from dropdown
  • Payer list matches your contracts
  • Each staff member who should have access receives a login invite
  • RN vs HHA vs office permissions match what they had in Axxess (tell Betasky if someone looks wrong)
